This Privacy Policy describes how Axion AI Technologies LLC (“Axion,” “We,” “Us,” or “Our”) collects, uses, stores, and shares information when you use our website, our AI-powered voice and SMS agent services (including Riley, our AI receptionist), or interact with a business that uses our Services. By using our Services, you agree to the practices described in this Policy.
Information We Collect
Information you provide directly. When you call a phone line answered by our Services, submit an inquiry, or communicate with us, we may collect your name, phone number, email address, the reason for your call or inquiry, appointment details, and any other information you choose to share during the conversation.
Call recordings and transcripts. Calls answered by our AI voice agents may be recorded and transcribed for quality assurance, service delivery, and to fulfill your requests (such as scheduling a callback or appointment). Where required by law, you will be notified that a call may be recorded.
SMS consent records. When you opt in to receive text messages, we record your phone number, the date and time of your consent, and the context in which consent was given (for example, agreeing to receive an appointment confirmation).
Automatically collected information. When you visit our website, we may collect standard technical information such as IP address, browser type, device information, and pages visited, through cookies and similar technologies.
How We Use Your Information
We use the information we collect to:
Provide, operate, and improve our Services, including answering calls, capturing messages, scheduling callbacks, and sending requested text messages
Deliver appointment confirmations, follow-ups to missed calls, and other service-related communications you have consented to receive
Maintain records of consent as required by telecommunications regulations

We do not use your information to send marketing or promotional messages without your separate express consent.
SMS Messaging Disclosures
Message frequency varies based on your interaction with our Services. You may receive messages in response to your inquiries, to schedule or confirm appointments, or to provide service-related updates.
Message and data rates may apply for any messages sent to you by us and to us by you, depending on your wireless carrier plan.

How We Share Information
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, excluding aggregators and providers of the Text Message services strictly as necessary to operate the Program. All other categories of data sharing described in this Privacy Policy exclude text messaging originator opt-in data and consent.
We may share other information only in the following circumstances:
Service providers. We use trusted third-party providers to operate our Services, such as telephony and messaging carriers, cloud hosting, and database providers. These providers process information only as necessary to deliver the Services and are not permitted to use it for their own purposes.
The business you contacted. If you call a business line answered by our Services, the information you provide (your name, number, and the reason for your call) is shared with that business so they can respond to your inquiry. That business’s own privacy practices also apply to their use of your information.
Legal requirements. We may disclose information when required by law, subpoena, or legal process, or to protect the rights, safety, or property of Axion, our clients, or others.
Business transfers. If Axion is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.
We do not sell your personal information.
Data Retention
We retain call records, transcripts, and consent logs for as long as necessary to provide the Services, meet legal and regulatory requirements (including records of SMS consent), resolve disputes, and enforce our agreements. When information is no longer needed for these purposes, we delete or de-identify it.
Your Privacy Rights
Depending on your state of residence, you may have rights under applicable privacy laws, including the Texas Data Privacy and Security Act (TDPSA). These may include the right to:
Confirm whether we process your personal information and access it
Correct inaccuracies in your personal information
Request deletion of your personal information

Opt out of targeted advertising, the sale of personal data, or certain profiling (Axion does not engage in these practices)

Security
We use reasonable administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, access controls, and secure cloud infrastructure. No system can be guaranteed 100% secure, and you provide information at your own risk.
Children’s Privacy
Our Services are intended for business use and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we will delete it.
Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be reflected by updating the Effective Date above. Continued use of the Services after changes constitutes acceptance of the updated Policy.
